  • Wage calculations and payroll processing

  • Managing payslip queries

  • Accurate data submission to accountants

  • Ensuring compliance with contractual and statutory payroll requirements

  • Maintaining payroll records to audit-ready standards

Staff Records & Regulatory Compliance

We maintain accurate, secure, and compliant staff records in line with GDPR, regulatory expectations, and internal audit standards.

 

Our responsibilities include:

  • Maintaining up-to-date staff files

  • Regular file audits to ensure completeness and accuracy

  • Annual DBS reviews and management of a comprehensive DBS tracking register

  • Monitoring compliance with HR legislation, including:

    • Working Time Regulations

    • National Minimum Wage

    • Statutory leave entitlements

We ensure policies and procedures remain current and fully compliant with legislation and regulatory guidance.

Systems Implementation & Digital Transformation

We drive digital efficiency across services by implementing and supporting modern systems.

This includes:

  • Rolling out digital clock-in/out systems and home management software

  • Leading staff training on new systems

  • Designing and maintaining secure digital filing systems

  • Promoting consistent documentation and record-keeping standards

Our approach enhances accessibility, compliance, and operational consistency.

Recruitment & Safer Recruitment Compliance

We lead the full recruitment lifecycle, ensuring all processes meet Safer Recruitment and Ofsted standards.

This includes:

  • Vacancy advertising and candidate shortlisting

  • Interview coordination and candidate selection

  • Right-to-work checks

  • DBS processing and tracking

  • Reference verification and onboarding

  • Maintaining staff files in line with Ofsted regulations for children’s services

Our approach ensures safe, compliant, and well-documented recruitment practices across all services.

Workforce Planning & Rotas

We support safe and effective workforce deployment through robust rota management systems.

This includes:

  • Coordinating staff rotas using Blip and RotaCloud

  • Ensuring appropriate staffing levels across services

  • Supporting operational and regulatory staffing requirements

  • Promoting continuity, consistency, and safe care delivery

Training & Staff Development

We support continuous professional development by maintaining a clear, audit-ready training framework.

Our role includes:

  • Maintaining and monitoring the staff training matrix

  • Coordinating mandatory and developmental training via the Vocational Training Hub

  • Working closely with Registered Managers to plan training schedules

  • Tracking completion and renewal of training certificates
